SUMMARY
The Travel Coordinator will play a key role on our procurement team making commercial travel arrangements for MaxGen Employees.  This position consists of 80% travel coordinator duties and 20% administrative and reporting duties.  We are seeking an individual who thrives in a high growth business environment, is very organized, detailed, customer service and team oriented.

JOB RESPONSIBILITIES

The following responsibilities are not limited to:
 
  • Coordinate travel arrangements including air, hotel and ground transportation at the lowest possible fares. Establish and utilize preferred vendors to maximize savings.
  • Follow and enforce company procedures and travel policies.
  • Provides clear and concise travel details/itineraries to traveler and provide troubleshooting
  • support when needed.
  • Prepare monthly reconciliation of travel credit card statements.
  • Provide accurate records and reports which tie travel expenses to appropriate departments
  • and work orders.
  • Provides positive customer service to internal employees/customers.
  • Performs other office and clerical duties and special projects as assigned.



QUALIFICATIONS

Education and Experience
Required:
  • High school education and completion of an accredited travel school program or equivalent work experience.
  • 3 – 5 years’ experience working in an office environment
  • 1 year of experience making travel arrangements (airline/hotel bookings) in a corporate environment.
 Preferred:
  • Associates Degree
  • Internet wiz and/or professional shopper who can find goof deals and continually strive to lower travel costs

  • Knowledge of commonly-used concepts, practices, and procedures in a corporate office;
  • Experience making travel arrangements for a large number of people.
  • Must be proficient in Microsoft Office, and have advanced Excel and internet Skills.  SharePoint and Salesforce preferred.
 
WORKING ENVIRONMENT
  • Travel may be required – less than 5%
  • Normal Office Environment
  • Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer
  • Occasionally move about inside the office to access file cabinets, office machinery, etc
  • Frequently communicates with employees and customers
